I love a special type of pre-read used by the New Zealander trainer Alicia McKay. She works with teams to break down barriers to growth and change. To get her audience quickly in the right frame of mind for her workshops, Alicia records a 3-minute video that explains the agenda, objectives, and key expectations. Video is a great tool to bring people quickly up to speed. Of course, a video is not a suitable pre-read for each meeting, but it highlights how you can use todayâs technology if desired.
Clean and Clear: Make it digestible, easy to follow
If you do provide more documentation over and above the meeting invite, keep things clean and clear, short, and simple. Nobody likes to spend hours looking for a needle in a haystack, or a piece of analysis that is hidden in a 50-slide document. This book is not about how to write documents clearly but remember to keep any attachments to meetings invites clean and clear. This way, you help your audience to keep things digestible.
But I want to lock in time with attendees before their agendas fill up.
